This Privacy Policy explains how CMEescape (“CMEescape,” “we,” “us,” or “our”), an initiative of Ebix Inc., collects, uses, discloses, and protects information when you visit cmeescape.com (the “Site”) or contact us about our travel services. CMEescape is a travel services company; continuing medical education is delivered independently by Oakstone CME.
1. Information we collect
Information you provide
- Enquiry & concierge forms: your name, email address, phone number, medical specialty, the package or destination you’re interested in, and any message you send us.
- Account information (if you register): your name, email, password (stored in hashed form), and saved trips or preferences.
Information collected automatically
- Usage & device data: IP address, browser type, device type, pages viewed, referring URLs, and approximate location, collected through cookies and similar technologies.
- Advertising & analytics: if you consent, the Meta (Facebook) Pixel collects information about your interactions with the Site to measure and improve our advertising. This tracking does not run unless and until you accept it.
2. How we use your information
- To respond to your enquiries and prepare travel proposals.
- To operate, secure, maintain, and improve the Site.
- To send you transactional emails (such as enquiry confirmations).
- With your consent, to measure and optimize advertising and understand traffic.
- To comply with legal obligations and enforce our terms.
3. Cookies & tracking technologies
We use two categories of cookies and similar technologies:
- Strictly necessary — required to run the Site, keep you signed in, and remember your privacy choice. These are always active and exempt from consent.
- Analytics & marketing — including the Meta Pixel. These load only after you accept them and can be withdrawn at any time via .
You can also control cookies through your browser settings. We honor the Global Privacy Control (GPC) signal as a valid request to opt out of the sharing of your personal information for advertising.
4. How we share information
We do not sell your personal information for money. We share it only as follows:
- Service providers who operate the Site on our behalf — for example our hosting and database provider (Supabase) and our transactional email provider (Resend).
- Advertising partners (with your consent) — Meta Platforms, Inc., via the Meta Pixel. Under California law this may be considered “sharing” for cross-context behavioral advertising; you can opt out at any time.
- Affiliates & partners — Ebix Inc., EbixTravel, and Oakstone CME, to fulfill travel bookings and CME enrollment, which are separate transactions.
- Legal & safety — when required by law or to protect rights, safety, and security.
5. Your California privacy rights (CCPA/CPRA)
If you are a California resident, you have the right to:
- Know what personal information we collect, use, and disclose.
- Request access to, or a copy of, your personal information.
- Request deletion or correction of your personal information.
- Opt out of the “sale” or “sharing” of your personal information. We do not sell your information for money; to opt out of sharing for advertising, use or send a GPC signal.
- Not receive discriminatory treatment for exercising these rights.
The categories of personal information we may collect are identifiers (name, email, phone, IP address), internet/network activity, and professional information (medical specialty). We do not knowingly collect sensitive personal information for the purpose of inferring characteristics. To exercise your rights, contact us at privacy@cmeescape.com. We will verify your request and respond within the timeframes required by law. You may use an authorized agent.
6. Your EU/UK rights (GDPR)
If you are in the European Economic Area or the United Kingdom, you have rights to access, rectify, erase, restrict, and port your personal data, and to object to processing. Where we rely on consent (such as for the Meta Pixel), you may withdraw it at any time without affecting prior processing. Our lawful bases are your consent, performance of a contract (responding to enquiries), and our legitimate interests in operating and securing the Site.
7. Data retention
We retain personal information for as long as needed to respond to your enquiries, provide our services, and meet legal, accounting, or reporting obligations, after which it is deleted or anonymized.
8. Security
We use reasonable administrative, technical, and physical safeguards to protect your information. No method of transmission or storage is completely secure, however, and we cannot guarantee absolute security.
9. Children’s privacy
The Site is intended for medical professionals and is not directed to children. We do not knowingly collect personal information from anyone under 16.
10. Changes to this policy
We may update this Privacy Policy from time to time. We will revise the “Last updated” date above and, where appropriate, provide additional notice.
